β€’Overview β€” Two Connected Apps

As a Mobile Banker you work with two related tools that hand off to each other:

Online AppOffline Recorder
Where: mobile_bankers/login.php
Needs: a working internet connection at all times.
What it's for: your everyday dashboard, recording deposits when you have signal, viewing your collections, checking commission, and reviewing anything pushed from the offline app.
Where: offline/index.html β€” also linked as "Offline Recording App" in the online app's ☰ menu.
Needs: internet only for first-time setup and for syncing afterwards.
What it's for: recording deposits with the phone in a dead zone β€” the data is saved on the phone itself and sent to the server automatically the next time you have signal.
The most important thing to understand up front: As soon as a deposit you recorded offline syncs to the server, it becomes a real, official deposit and its SMS receipt goes out β€” no extra step needed. The only exception is a submission that needs a human decision (a possible duplicate, or an account number that doesn't match any customer): those land in "Pending Offline Deposits" (Part 1, Section 6) for you to review, exactly like a live duplicate warning in the online app.
Part 1Online App β€” Needs Internet

Everything below lives at mobile_bankers/ and requires a working connection the whole time you're using it.

1Logging In

Sign in with your email, phone number, or Staff ID plus your password β€” any of the three identifiers work in the same box.

Working hours: Monday–Friday, 8:00 AM – 7:00 PM (Ghana time). Outside that window β€” including all day Saturday and Sunday β€” the login form won't even appear. This is a deliberate operating-hours policy, not a bug; the portal opens again automatically at the next working window.

2Dashboard

Your home screen after logging in β€” a quick daily snapshot plus your profile.

Running in the background, always: every page silently pings your GPS location roughly every 30 seconds so your Back Officer, Branch Manager, and Admin can see your route on a live map β€” nothing to turn on or off. You'll also get a session-timeout warning after 5 minutes idle (2-minute countdown, then auto-logout), or after 5 minutes away from the browser tab.

3Record Deposit

The page you'll use most β€” recording an actual cash collection against a customer's account.

  1. Find Customer. Enter the customer's full account number and tap Search Customer. A "βœ“ Verified" badge confirms the match and opens the deposit form.
  2. Record Deposit. Enter the Deposit Amount and the Old Balance (typed in by you from the passbook β€” not pulled automatically, so double-check it). The New Balance is calculated live as Old Balance + Amount.
  3. Validate Cash opens a confirmation summarizing everything. Tap Confirm & Submit.

On submit: a transaction reference is generated (e.g. TD-A1B2C3D4E5), the deposit is saved, and an SMS receipt goes out automatically. If the SMS fails, the deposit is still recorded β€” the SMS is a courtesy, not a condition.

Duplicate / "Gaming" warning. If this customer already has any deposit recorded today, submitting another triggers a "Possible Duplicate" warning β€” explicitly guarding against splitting one deposit into smaller entries to dodge the β‰₯β‚΅201 commission rule. Only override it for a customer who has genuinely returned for a separate visit that day.

4Daily Collection / View Deposits

A live, read-only list of every deposit you've recorded today, reached from both the navbar ("View Deposits") and the bottom tab ("Daily Collection") β€” same page.

5Commission

Shows exactly how your commission is calculated for a date range you choose (defaults to today).

LineWhat it means
Total depositsEverything you collected in the range.
Deposits β‰₯ β‚΅201Count of individual entries β‚΅201 or more.
Commissionable amount (1%)Total deposits minus the high-value group sums β€” your 1% is calculated on this.
Bonus (β‚΅1 per qualifying group)A flat β‚΅1 for each customer-day group containing a β‰₯β‚΅201 deposit.
Total Commission((Total βˆ’ qualifying-group sums) Γ— 1%) + (β‚΅1 Γ— qualifying groups)
The anti-Gaming formula, plainly: deposits are first grouped by customer and calendar day β€” three β‚΅50 deposits for the same customer on the same day count as one β‚΅150 group, not three small ones. If any single deposit in that group is β‰₯β‚΅201, the group's entire total is pulled from the 1% pool and earns a flat β‚΅1 instead β€” regardless of the group's size. Everything else earns the standard 1%.

6Pending Offline Deposits

Most deposits synced from the Offline Recorder (Part 2) become real automatically β€” nothing to do here. This page only fills up with the exceptions: a submission whose account number doesn't match any customer, or one that looks like a possible duplicate for that customer that day. Found in the ☰ sidebar menu β€” not the bottom tab bar β€” with a red badge showing how many are waiting.

ActionWhat it does
AcceptRuns the same checks a live deposit gets β€” customer lookup, same-day duplicate check β€” then creates the real deposit and sends the SMS receipt.
RejectDiscards the submission, with an optional reason. Nothing is created.
Accept AllProcesses everything still pending at once. Anything unmatched to a customer, or still a possible duplicate, is deliberately left pending for individual review.
Reject AllRejects everything pending, with one shared optional reason.

7Account, Logout & Legacy Pages

Change Password only works once a Branch Manager has approved a reset flag on your account β€” otherwise it redirects you back to start a reset. Logout ends your online session only; the Offline Recorder keeps its own separate saved login, so logging out of one doesn't log you out of the other.

Not part of the live flow forgot_password.php / reset_pass.php / wait_for_admin.php in the mobile_bankers/ folder are an older self-service reset flow, bypassed by the current "Reset Password?" link. Ignore them if you ever land on one directly.

Part 2Offline Recorder β€” Works With No Signal

Everything below lives at offline/index.html. It's a single page that keeps working with the phone in airplane mode, once set up.

8One-Time Setup (Needs Internet)

Do this once, while you have a good connection β€” ideally at the branch, on Wi-Fi, before you head out on your route.

  1. Open the Offline Recorder. From the online app, tap the ☰ menu and choose "Offline Recording App." It opens in its own tab, or go straight to offline/index.html.
  2. Sign in. Use the same Staff ID, email, or phone number and password as the main app. The same working-hours window and 3-attempt lockout rules apply here too.
  3. Wait for the customer list to download. As soon as you sign in, the app automatically downloads the full customer directory (every customer's name, phone, and account number) onto your phone. A progress bar shows how far it's gotten β€” stay connected until it finishes.
  4. (Optional) Add it to your home screen. Most phones will offer to install it as a home-screen icon, so it opens full-screen like a normal app.
Skip this step and offline recording won't work. Without completing setup, the app has no customer list to search and no saved login β€” it will simply ask you to connect to the internet first.

9The App Screen β€” What You'll See

The whole app lives on one screen β€” everything below is on that same page, so there's nothing to "navigate to" except by scrolling or using the menu.

Part of the screenWhat it's for
☰ Menu (top-left)Opens a slide-in menu with quick jumps to Today's Summary, Record Deposit, Waiting to Sync, and Recently Synced, plus the Refresh Customer List, Online Dashboard, and Log Out of This Device actions.
Status barA green dot means you're online, amber means offline. The Sync Now button sits next to it for a manual sync at any time.
Today's SummaryThree cards β€” Customers (unique depositors today, on this phone), Total Amount (collected today, on this phone), and Commission (a local estimate, using the same anti-Gaming formula as the online app).
Find Customer / Record DepositThe search box and deposit form described in Section 10.
Waiting to SyncEverything saved on this phone that hasn't reached the server yet.
Recently SyncedA table (S/N, Customer, Account, Amount, Recorded, Status) of everything that has successfully synced from this phone today. It clears itself out automatically at the start of each new day β€” the server keeps the permanent record, this is just today's on-phone log.
Today's Summary is a local estimate, not your official figures. It only counts what's saved on this phone today β€” it has no idea what you recorded on the online app or another device. Commission shown here is not official until your deposits sync β€” and for the rare one flagged as a possible duplicate or unmatched account, not until it's also Accepted in the online app (Part 1, Section 6).

10Recording Deposits With No Signal

Once setup is done, you can close the app, turn on airplane mode, walk into a valley with zero bars β€” it doesn't matter. Opening the Offline Recorder again brings you straight to your recording screen, no login needed.

  1. Find the customer. Type the customer's full account number and tap Search. This checks the copy of the customer list saved on your phone β€” it does not need the internet.
  2. If found, the customer's name and account appear and the deposit form opens below.
  3. If not found, you'll see "Customer account not found in the downloaded list." There's no way to type a name in manually β€” if this keeps happening for accounts that should exist, your customer list may be out of date (Refresh Customer List in the ☰ menu).
  4. Enter the Deposit Amount and Old Balance (from the customer's passbook, same as the online app). The New Balance is calculated automatically as you type.
  5. Tap "Save Deposit (Offline)." The deposit is saved on the phone immediately, with a local reference code, and appears under "Waiting to Sync."
Your data is safe. Everything you save offline stays on the phone even if you close the app, lose battery, or restart the phone. It is not lost until it has synced and you've confirmed that in the "Recently Synced" table.

11The Duplicate / "Gaming" Warning

If you try to record a second deposit for the same account on the same day, the app stops you with a warning β€” exactly like the online app does. It explicitly asks you not to split one deposit into multiple smaller entries ("Gaming"), because that would be used to dodge the commission threshold.

Only continue if it's genuine. Tap "Yes, Save Anyway" only when the customer has truly made a second, separate visit that day β€” not as a way around the warning.

12Syncing When Signal Returns

You don't need to remember to do anything special β€” but it helps to understand what's happening:

Part 3Putting It Together

13A Typical Day, Start to Finish

7:55 AM β€” At the branch, on Wi-Fi, you log into the online app and open the Offline Recorder too, letting the customer list finish downloading before you head out.

8:30 AM β€” Signal is fine for the first stops, so you use the online app as usual: search, record, confirm, SMS receipt sent automatically.

9:45 AM β€” You walk into a dead zone. You open the Offline Recorder β€” it goes straight to your recording screen, no login needed. You search each account, record the amount and old balance, confirm. One customer gets a duplicate warning because you've genuinely visited her twice today; you confirm it's real and it saves.

12:30 PM β€” Signal returns. The app auto-syncs your morning's deposits in the background; most turn into real deposits with SMS receipts right away β€” you see them marked "Confirmed" in the "Recently Synced" table, and Today's Summary updates with your running total so far.

12:35 PM β€” Two items are marked "Needs review" instead. In the online app, you open Pending Offline Deposits β€” one flags as a possible duplicate, you check it, confirm it's genuine, and accept it. The other has a mistyped account number, so you reject it and make a note to re-collect that one properly.

6:45 PM β€” Back at the branch, you check your Daily Collection and Commission pages online to confirm the day's totals look right.
